How to compare two PDFs (step by step)

What a Visual Comparison Can and Cannot Catch

Comparing rendered pages finds anything that changes what the page looks like: inserted or deleted text, moved paragraphs, altered figures, different images, changed layout. That covers most of what people are checking for when they say “what changed in version 4?”

It will not catch changes that leave the appearance identical — edited metadata, altered hyperlink targets, changed form-field values behind an unchanged display, or embedded data. If you are checking a contract for substantive edits, visual comparison is the right instrument. If you are investigating whether a file was tampered with, it is not sufficient on its own.

Why Two Versions Can Look Different When Nothing Changed

False positives are the usual frustration, and they nearly always come from one of these:

• Different page sizes. One saved as A4, the other as Letter. Every line then sits a few points off and the whole page reads as changed.
• Different producers. The same document exported from Word and from a browser will differ in kerning and line breaks without a word being altered.
• Font substitution. If a font was not embedded, each machine renders with whatever it has.
• One is a scan. A scanned copy of a digital original differs on essentially every pixel.

Before concluding a document was changed, check that both files came out of the same process. Comparing a scan against a digital original tells you almost nothing.

Getting a Clean Comparison

• Align the page counts. If one version has an extra cover sheet, everything after it registers as different. Extract the matching range from each first.
• Match orientation. A sideways page compares against nothing useful — rotate it first.
• Compare like with like. Same source format, same page size, wherever you can.
• Work section by section on long documents. Extracting the clause you care about from both versions gives a far clearer signal than diffing 200 pages.

Comparing Confidential Drafts

Version comparison is something people do with contracts under negotiation, draft accounts and legal filings — documents that should not be uploaded to a third party at all, and often may not be under a confidentiality undertaking. Both files stay on your machine here, which is the entire reason to do it this way.

Once You Know What Changed
